A cancellation, late arrival and waitlist policy you can fill in

Twenty clauses to complete, written for a studio where one empty carriage is one hour of unrecoverable revenue.

Most studio cancellation policies fail for the same reason: they are written in adjectives. A reasonable notice period and an appropriate fee sound fair on the website and give your front desk nothing to stand on at six in the morning when a regular wants her credit back for the third time this month.

This template replaces adjectives with numbers. Each clause has a blank you fill with a specific hour, a specific charge or a specific rule, and each one is written for a room where capacity is carriages rather than floor space. Complete it in about thirty minutes and you have a policy your instructors can quote word for word.

How to use it

Work through it in one sitting with your booking system open beside you, because half of these clauses are settings as much as sentences. Fill the deadline, the charge, the offer window and the quiet window first, since every other clause hangs off those four numbers.

Then read the finished policy aloud as if a client were standing at the desk asking why she was charged. Anything you would soften in that moment is a clause that needs rewriting now, not an argument you want to have at six in the morning.

No newsletter is attached to this. The reformer cancellation and late arrival template arrives once and that is the end of it, and if you would rather skip the form entirely, write to jimenezjulien42@gmail.com and ask for it by name.

Questions about this document

Is a twelve hour cancellation deadline too harsh for a Pilates studio?

It is the common standard for equipment based classes precisely because the spot cannot be resold once the class starts. Clients accept it when the waitlist visibly works and when the exception for illness is real. Studios that struggle usually have an unclear deadline rather than a strict one.

Do I have to charge a fee at all?

No, and some studios use a credit hold or a warning system instead. What matters is that the consequence is stated, consistent and applied the same way to a founding client and a new one. A policy nobody enforces costs you more than not having one, because it trains regulars to cancel late.

Can I use this template as my actual published policy?

Yes, that is what it is for. Fill in your numbers, put it on your booking page and in your purchase flow, and adapt any wording to fit your state and your merchant agreement. Have a local attorney read it if you are charging cards on file for late cancellations.

From twenty clauses to actual settings

Once the deadline, the late cancel charge, the offer window and the quiet window are written down, the next job is making them hold at six in the morning without your front desk negotiating each one. We will take your completed policy and set it up as booking rules, offer timers and a credit drawn on acceptance for a released carriage. Bring the filled in template to the call and we will work straight from it.
